General Event Information

Where and when is the event being held?

The Podcast Show 2025 will take place at the Business Design Centre, 52 Upper Street, Islington, London, N1 0QH. The exhibition is open:

Wednesday, May 21, 2025: 9:00 AM - 6:00 PM

Thursday, May 22, 2025: 9:00 AM - 6:00 PM

 What are the build-up and breakdown times?

Space Only Exhibitors:

Build-up: Monday, May 19 (10:00 AM - 10:00 PM), Tuesday, May 20 (8:00 AM - 6:00 PM)

Breakdown: Friday, May 23 (8:00 AM - 12:00 PM)

Shell Scheme Exhibitors and Entertainment Suites:

Build-up: Tuesday, May 20 (8:00 AM - 6:00 PM)

Breakdown: Thursday, May 22 (6:00 PM - 10:00 PM)

How do I register for the event?

Exhibitor registration opens at 8:30 AM on show days. All stands must be ready by 5:00 PM on May 20, 2025.

Exhibitor Space and Documentation

How do I access the eZone?

You can access the eZone through the account creation email which will be sent to your primary contact. This email will be sent from Podcast-Show-2025@showoff.asp.events. Please check your junk or spam folder if you have not received this email.

Once logged in, the eZone allows you to:

  • Submit compulsory documentation (e.g., risk assessments, public liability insurance, stand designs).

  • Review important updates and announcements.

  • Access key information about your stand and the event.

What documentation is required?

All exhibitors must submit the following by April 4, 2025, via the eZone:

  • Risk Assessment

  • Health & Safety Declaration

  • Public Liability Insurance (£5 million minimum cover)

  • Stand Design (for Space Only Exhibitors)

  • External Contractor Form (if applicable)

What services are included with my stand?

Shell Scheme:

Includes walls, carpet, 500W power socket, and company name board (plain text)

Entertainment Suites:

 Include white-painted walling, company logo branding 120cm x 60cm, and lighting.

 How do I book WI-FI, power or additional services for my stand?

Yes, additional services such as Wi-Fi, power, lighting, and flooring must be ordered directly from the Business Design Centre by May 12, 2025. Late orders will incur a 20% surcharge.

 I need recommendations for stand builders. Where can I find them?

Recommended suppliers, including stand builders, are detailed in the Exhibitor Manual. For assistance or further guidance, please refer to the manual or contact the event team for additional support.

Who handles signage and graphics onsite?

Signage and graphic solutions are managed by Onward Display, the official onsite signage provider. They offer a variety of options to meet your branding needs. For assistance, contact info@onwarddisplay.co.uk.

Access and Deliveries

How do I book a delivery slot?

Delivery slots for large items can be booked using this Jotform link. Ensure you include the following details:

  • Your Name

  • Stand Number on Floor Plan

Where do I send deliveries?

Deliver items only when your team is onsite to receive them. Use the following address:

Label packages with your company name, stand number, and contact details.

 What if my delivery arrives before I do?

Early deliveries will not be accepted by the venue. A member of your team must be present onsite to receive the shipment.

 Will trolleys be provided for loading and unloading?

No, trolleys are not provided by the venue. Exhibitors are advised to bring their own.

Insurance Requirements

What are the insurance requirements for exhibitors?

All exhibitors must provide proof of public liability insurance with a minimum cover of £5 million.

Why do I need insurance?

Public liability insurance protects against claims of accidental injury to a visitor or damage to property at your stand.

It is a mandatory requirement of the venue.

What does the insurance need to cover?

Claims during the event, including build-up and breakdown periods.

Damage to the venue or injury to visitors caused by your stand or activities.

How do I obtain insurance?

If your business insurance does not include public liability, you can contact your broker to arrange a one-off policy for the event.

Where do I submit my insurance details?

Upload a copy of your public liability insurance certificate to the E-Zone by April 4, 2025.

Onsite Information

Are catering services available?

Yes, all food and beverages must be ordered through The Good Eating Company. External catering is not permitted. Contact: operationsbdc@goodeatingcompany.com.

Are there storage facilities for exhibitors?

Yes, limited storage is available onsite. Contact the venue's concierge team for further details.

What are the accessibility options at the venue?

The Business Design Centre is fully accessible, including ramps and lifts to all floors. Ensure your stand is also accessible (e.g., ramps for raised platforms).

Can I play music or use AV equipment at my stand?

Yes, but any recorded material requires a PPL PRS license. Volume must not disturb other exhibitors.

Are there branding opportunities beyond my stand?

Yes, exhibitors can explore additional branding opportunities. Contact partners@thepodcastshowlondon.com for details.

Is there Wi-Fi at the venue?

Yes, complimentary 8mb Wi-Fi is available venue-wide. Login details will be shared ahead of the event. If you require a dedicated, hard-wired internet connection, this can be arranged directly with the venue by contacting Jessica Shepherd at jessicas@bdc.london.

Miscellaneous

What happens to waste after the event?

Exhibitors must remove all waste, including carpets and building materials. Leftover items will incur a disposal fee.

Can I sell goods directly from my stand?

Yes, exhibitors are permitted to sell goods directly from their stands.

Are children allowed at the event?

All attendees must be 16 years or older. Babes in arms are permitted but pushchairs must be stored in the designated buggy park.

How can I change my email address if it is different to that which I used to purchase tickets?

If your email address changes you can log into your booking account to modify your registration.

What are transaction fees when booking via thepodcastshowlondon.com?

The Delegate Pass price we promote is the face value. The total Pass cost is the face value plus a 4% booking fee. 

Accessibility

Is The Podcast Show an accessible event?

We take the needs of delegates who are disabled or who have other access requirements very seriously and actively encourage people of all abilities to attend the Event.

The Business Design Centre is a fully accessible venue. Full details of their accessibility measures are outlined on their website businessdesigncentre.co.uk

Personal Assistant Passes

We offer an additional Personal Assistant (PA) Guest Pass for delegates with disabilities that would be unable to attend without use of a personal assistant. The following supporting evidence is required:

• Middle or Higher rate DLA for care and/or mobility

• Receipt of Personal Independence Payment (PIP)

• Evidence of being severely sight impaired

• CredAbility Access Card +1 category requirement

• A recognised Assistance Dog ID card

Will there be Sign Language in the theatres at The Podcast Show?

Yes, we will publish in good time ahead of the event those sessions that will be signed in British Sign Language (BSL).

Will there be Hearing Loops in the theatres at The Podcast Show?

The Origin Theatre space has a permanent induction loop which can be connected to for the sessions. If you require a hearing loop, please contact our team at team@thepodcastshowlondon.com
